Exporting your inventory report from Vetspire

Vetspire leans hard on built-in analytics, and it is popular with groups running several hospitals. That works in your favour: rather than hunting for a fixed report, you can usually assemble one with the columns you actually want and save it for next month.

What you actually need

Four columns. Everything else in the report is optional, so do not spend time tidying the rest.

Item name
exactly as your system writes it
Quantity on hand
current units in stock
Unit cost
what you pay your distributor, not the client price
Units sold, one file per month
twelve separate monthly reports, not one twelve-month total

Two optional columns worth grabbing

If Vetspire offers these, leave them in. They cost nothing at export time and they let StockSolve compare what an item should have earned against what it actually booked, which is what separates a vaccine bundled into a wellness plan from a charge that was simply missed. Nothing to map: if the columns are in the file, the engine finds them.

Unit price
the client-facing sell price. Often called Price, Retail, Sell or Charge
Sales revenue
what the item actually booked. Often called Revenue, Extended, Sales or Amount

Which reports to look for in Vetspire

Report names shift between versions, so go by what the report contains rather than by an exact menu label. You are looking for two things:

  1. 1An inventory or products view showing quantity on hand and cost per item.
  2. 2A sales or invoice line report grouped by product across a trailing twelve months.

Things that trip people up on Vetspire

Because you are often choosing columns yourself, be deliberate about cost. Pick the purchase cost, not the sell price, and add the sell price only as the optional extra column.
Multi-location groups should export one hospital at a time. A combined view mixes stock levels that belong to different shelves.
Save the report once it is right. Re-running a saved report is what turns this into a monthly habit instead of a project.
