Exporting your inventory report from Shepherd

Shepherd is a newer cloud system with a deliberately lean reporting section, which means fewer places to look. You still need the same two things every other system gives you: what is on the shelf, and what sold over the past year.

What you actually need

Four columns. Everything else in the report is optional, so do not spend time tidying the rest.

Item name
exactly as your system writes it
Quantity on hand
current units in stock
Unit cost
what you pay your distributor, not the client price
Units sold, one file per month
twelve separate monthly reports, not one twelve-month total

Two optional columns worth grabbing

If Shepherd offers these, leave them in. They cost nothing at export time and they let StockSolve compare what an item should have earned against what it actually booked, which is what separates a vaccine bundled into a wellness plan from a charge that was simply missed. Nothing to map: if the columns are in the file, the engine finds them.

Unit price
the client-facing sell price. Often called Price, Retail, Sell or Charge
Sales revenue
what the item actually booked. Often called Revenue, Extended, Sales or Amount

Which reports to look for in Shepherd

Report names shift between versions, so go by what the report contains rather than by an exact menu label. You are looking for two things:

  1. 1An inventory or products report showing quantity on hand and cost.
  2. 2A sales report broken out by item across a twelve month range.

Things that trip people up on Shepherd

Confirm the cost column is your purchase cost rather than the price charged to clients.
If a twelve month range is not offered directly, export month by month. StockSolve accepts up to twelve separate monthly sales files and reads seasonality from them.
