Exporting your inventory report from IDEXX Neo

Neo is IDEXX’s cloud system and it names its reports helpfully, which makes this straightforward. Reports can be viewed as a spreadsheet and exported, so nothing needs to be retyped. Two reports cover what the math needs, and a third one hands you the optional price column.

What you actually need

Four columns. Everything else in the report is optional, so do not spend time tidying the rest.

Item name
exactly as your system writes it
Quantity on hand
current units in stock
Unit cost
what you pay your distributor, not the client price
Units sold, one file per month
twelve separate monthly reports, not one twelve-month total

Two optional columns worth grabbing

If IDEXX Neo offers these, leave them in. They cost nothing at export time and they let StockSolve compare what an item should have earned against what it actually booked, which is what separates a vaccine bundled into a wellness plan from a charge that was simply missed. Nothing to map: if the columns are in the file, the engine finds them.

Unit price
the client-facing sell price. Often called Price, Retail, Sell or Charge
Sales revenue
what the item actually booked. Often called Revenue, Extended, Sales or Amount

Which reports to look for in IDEXX Neo

Report names shift between versions, so go by what the report contains rather than by an exact menu label. You are looking for two things:

  1. 1Inventory Valuation, which is the report Neo points you to for inventory cost.
  2. 2Dispensed Products in Date Range, which lists each time a product was sold and the quantity, over a date range you set.

Exact steps

Taken from IDEXX’s own documentation. Menu wording can still shift between releases.

  1. 1For inventory cost, run the Inventory Valuation report.
  2. 2For units sold, run Dispensed Products in Date Range and set the range to the period you want. Run it month by month to keep the monthly detail the math uses for seasonality and safety stock.
  3. 3For the optional price column, and for a plain item list, run Inventory Listing. Neo uses that same report for both the item list and the price list.
  4. 4View the report as a spreadsheet, then use the CSV export to download it.

Things that trip people up on IDEXX Neo

Neo offers several output formats per report, but not every format is available for every report. Choose the spreadsheet view when you want something you can export.
Dispensed Products in Date Range is transaction-level, meaning one row per dispense rather than one row per item. Total the quantity by product name in your spreadsheet before uploading, or let StockSolve total it for you.
Voided and corrected consultations are reported against the original consultation date so historic figures do not shift underneath you. That is good for consistency, and it means a correction will not appear in the month you made it.
If you run more than one branch, check whether the report is filtered to a single branch before exporting.
